This page will walk you through the steps to add content to your knowledge base, so that your AI agents have access to the necessary data to answer customer questions.

What is Ringly.io's knowledge base?

The knowledge base is a place you can upload content files about your business. When a customer asks a question and the AI phone agent doesn't know the answer immediately, it will search the knowledge base and get the answer. This process takes about 2 seconds, and in the meantime the agent will still be speaking.

So the agent will look into the knowledge base, at the same time say something like "Let me look up that answer for you..." In the meantime the answer is found and the agent will give the answer.

Where can I find the knowledge base?

  1. Navigate to one of your agents: After logging into your Ringly.io account, go to 'Agents', click on your agent, and then click the. 'Knowledge Base' tab.

  2. Activate the knowledge base: Toggle the switch to activate the knowledge base.

How do I add content to the knowledge base?

You can upload quite some types of information. Click on the '+ Upload' button to see the options available:

  1. Upload a file:

    Supported formats: You can upload documents in Text, CSV, TSV, PDF, DOCX, PPTX, XLSX, MD (Markdown), RTF, and JSON.

    • Steps:

      1. Click 'Upload a file'.

      2. Give your file a name

      3. Click on the grey area and select the file from your device.

      4. Confirm the upload.

  2. Upload text:

    Purpose: Paste or type text.

    • Steps:

      1. Click 'Upload text'.

      2. Give your document a name

      3. Copy and paste your text content into the content field.

      4. Click 'Upload'.

  3. Add a Website URL:

    Use case: Allows the AI to fetch information from your website.

    • Steps:

      1. Click 'Add a website URL'.

      2. Give your document a name

      3. Enter the URL of the website.

      4. The AI will crawl and index the text content from this URL.

  4. Add a YouTube URL:

    Use case: Useful for using video content; the AI will extract and use the transcript from the video.

    • Steps:

      1. Click 'Add a YouTube URL'.

      2. Give your video a name

      3. Paste the YouTube video link.

      4. The AI will process the video to pull out the transcript text.

How do I manage the knowledge base?

Storage usage

At the bottom of the knowledge base, you can check your storage usage. Each paid plan will have its own storage that comes with it, but if you require additional storage, click 'Get extra storage' to buy some more. The additional store will be on top of your existing storage, and you will be billed separately for that storage.

Images will use up a lot of storage space, so it's best to limit the number of images in your files. To conserve space, try to upload text-only files whenever possible.

File management

Each uploaded file will be listed in the knowledge base. You can delete these files by clicking on the trash can.

Tips for the knowledge base

  • Give your files easy-to-recognise names

  • Call your agent to see if it gives the right answers

  • Upload clear, mostly text files

  • If your agent makes up an answer: add to the agent’s instructions that it should only get information from the instructions or knowledge base, and if the information is not there, mention that you do not know the answer, instead of making something up.
